Admin Executive

This role goes beyond typical desk-based admin work — you will be actively involved in managing vendors, facilities, and day-to-day office operations. We are seeking experienced individual like you to join us now.
Job Description- Oversee day-to-day operations including facility maintenance, utilities, cleaning, security, and office supplies.
- Serve as the primary contact for external vendors, contractors, landlords, utility providers, and service partners.
- To ensure the operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; and evaluating new equipment and techniques.
- To maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; and verifying receipt of supplies
- Organize and support management meetings, site visits, and travel arrangements.
- To assist with the renewal of service agreements for office items, insurance, and road tax for company vehicles.
- Coordinate IT facilities and office access card for new employees.
- Ensure smooth visitor management, reception duties.
- Maintain and update internal records, files, and databases, ensuring proper storage and retrieval procedures.
- Assist in safety and health compliance matters
- Other duties assigned by the superior
- Able to multitask and work on project basis
Job Requirements
- At least Foundation/ Diploma/Degree in Business Administration or equivalent.
- Proven experience at least 2 years in a similar administrative or office management role
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and basic computer skills.
- Excellent communication skills in English and Malay.
- Excellent organizational and time management skills
- Ability to work independently and prioritize multiple tasks.
- Candidates who can start immediately are preferred.
