Job Description

We are seeking a
Projects & Partnerships Executive
to support the coordination and delivery of AIHQ's solution-based projects.

This role involves managing day-to-day project follow-ups, ensuring smooth communication with clients and partners, and assisting in preparing grant applications and project documentation.

The ideal candidate is organized, responsive, and detail-oriented — someone who enjoys keeping things on track and following through to completion.

Key Responsibilities

Project Management & Coordination

  • Coordinate and monitor project timelines, deliverables, and follow-ups with internal and external teams.
  • Prepare meeting notes, task lists, and project updates to ensure alignment across stakeholders.
  • Support project planning, documentation, and reporting.

Client & Partner Follow-up

  • Maintain consistent communication with clients and partners to track progress, collect feedback, and resolve issues.
  • Follow up on action items and ensure deliverables are completed on time.
  • Prepare updates and summaries for management review.

Grant Writing & Administration

  • Assist in identifying and applying for relevant funding or grant opportunities.
  • Support drafting of proposals, justifications, and reports for funded projects.
  • Track submission deadlines and maintain accurate records of grant activities.

Operational Support

  • Prepare documentation, presentations, and reports for projects and partnerships.
  • Assist in reviewing agreements, proposals, and internal approval processes.
  • Provide administrative and coordination support for other solution initiatives.

Requirements

  • Bachelor's degree in Business, Communications, or related field.
  • 1–3 years of experience
    in project coordination, grant support, or client servicing.
  • Excellent
    organization and follow-up
    skills with attention to detail.
  • Strong written communication — especially for documentation and proposals.
  • Ability to manage multiple projects and deadlines independently.
  • Familiarity with
    AI tools
    (e.g., ChatGPT, Notion AI) or eagerness to learn.
  • Proficiency in Google Workspace or Microsoft Office.
