Job Overview:
We are looking for a Project Administration (Construction) to support high-level project operations by managing administrative processes, improving workflow efficiency, and ensuring compliance with project deadlines and reporting standards. This role requires initiative, strong coordination skills, and the ability to work with multiple stakeholders across departments and sites.
Key Responsibilities:
· Oversee and maintain complete documentation of project files, including contracts, reports, schedules, and compliance documents.
· Coordinate and monitor project timelines, progress reports, and deliverables.
· Prepare meeting agendas, record accurate minutes, and ensure timely follow-up on action items.
· Liaise with clients, consultants, contractors, and internal teams to ensure smooth project execution.
· Manage procurement documents such as purchase requests, delivery orders, and material tracking.
· Handle project cost tracking, budget updates, and administrative support for claims and invoicing.
· Support HR functions at the project level including timesheets, leave tracking, and onboarding new site staff.
· Assist with audits, compliance reports, and project close-out documentation.
· Contribute to continuous improvement of project administration systems and practices.
Requirements:
· Diploma in Business Administration, Project Management, or related field.
· Minimum 3–5 years of experience in project coordination or administrative roles.
· Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
· Excellent communication and organizational skills.
· Able to work under pressure, meet deadlines, and manage multiple priorities.
· Knowledge of construction or engineering project environments is a plus.
