Key Responsibilities:Payroll & Statutory Administration

  • Process monthly payroll accurately and on time, including basic salary, overtime, allowances, incentives, and deductions.
  • Handle statutory compliance (EPF, SOCSO, EIS, PCB/MTD) in system.
  • Prepare payroll reports
  • Address employee payroll-related enquiries professionally and confidentially.

Employee Lifecycle & HR Administration

  • Manage employee confirmation matters, including probation tracking, confirmation letters, and system updates.
  • Register new employee data into HRIS/payroll systems and ensure completeness of required documents.
  • Update and maintain employee master data (personal details, position, salary, cost center, reporting line).
  • Maintain and update the company organization chart to reflect accurate reporting structures.
  • Process employee movement such as transfer, promotion, salary adjustment, and resignation.
  • Ensure employee data accuracy across HR, payroll, and related systems.

Records Management & Compliance

  • Maintain proper filing of employee personal files, payroll records, and statutory documentation.
  • Ensure data confidentiality and compliance with company policies and labor regulations.
  • Support internal and external audits related to payroll and employee data.
  • Liaise with government bodies and external vendors when required.

System & Process Improvement

  • Assist in HR system administration and continuous process improvement.
  • Support HR projects and ad-hoc tasks as assigned by management.

Requirements / Qualifications

  • Diploma or Bachelor's Degree in Human Resources.
  • Minimum 3 years of experience in payroll and HR administration.
  • Sound knowledge of Malaysian labor laws and statutory requirements.
  • Experience using iFlexi/SAP payroll systems and strong MS Excel skills.
  • High attention to detail, accuracy, and confidentiality.
  • Able to work independently and meet tight deadlines.
