Job Overview

We are a fast-growing beauty and spa brand with over 30 outlets across Malaysia. We are seeking a highly organized, proactive, and confident Personal Assistant (PA) to support the Director in managing daily operations, reports, recruitment, and training of spa consultants and beauticians.

This role requires someone who is hands-on, independent, and willing to travel regularly to outlets to monitor performance and support the team on-site.

Working Days: 10-630pm Wednesday to Sunday (Off on Monday & Tuesday)

Key Responsibilities

  • Reporting & Coordination

  • Compile and organize reports from all departments (operations, sales, customer service, etc.) for management review.

  • Track outlet performance and ensure timely submission of daily/weekly/monthly reports.
  • Follow up with outlet managers and staff on tasks assigned by the GM.
  • Recruitment & Interviewing

  • Assist in interviewing and shortlisting beautician and consultant candidates.

  • Coordinate interview schedules and manage onboarding of new staff.
  • Evaluate candidate suitability based on sales mindset, performance attitude, and service standards.
  • Training & Development

  • Conduct or assist in basic training for new beauticians and consultants (e.g. sales techniques, service standards, consultation approach).

  • Provide on-site coaching to ensure staff follow SOPs and deliver excellent customer experience.
  • Administrative & Support Tasks

  • Manage and organize documentation, contracts, and HR-related records.

  • Assist GM in daily administrative duties and scheduling.
  • Prepare minutes, summaries, and reports after meetings or site visits.
  • Outlet Visits & Field Work

  • Visit outlets regularly to observe operations and provide feedback.

  • Work closely with outlet managers to monitor service quality, sales target progress, and staff discipline.
