Job Summary:

Responsible for coordinating import and export shipments, ensuring smooth customs clearance, timely delivery, and accurate documentation for both raw materials and finished goods. Also provides administrative and clerical support to logistics, operations, and management departments to ensure efficient daily operations.

Key Responsibilities:

Freight & Forwarding Duties

Arrange, monitor, and coordinate import/export shipments* via sea, air, or land.

Liaise with freight forwarders, transporters, shipping lines, and customs agents*.

Prepare, verify, and maintain all shipping and customs documents* (invoice, packing list, bill of lading, delivery order, etc.).

Ensure customs compliance* and accurate record keeping in accordance with regulatory requirements.

Coordinate with warehouse, production, and accounts departments* for receiving, delivery scheduling, and payment follow-up.

Verify and track freight and transportation invoices*, ensuring accuracy and timely payment.

Maintain shipment records, assist in **logistics performance reporting*, and support ISO documentation or audits related to import/export processes.

Handle and resolve shipment issues* such as delays, damages, or documentation discrepancies.

Review and optimize freight cost efficiency* and shipping arrangements.

* Ensure compliance with import/export regulations and permits (MITI, MIDA, Customs, etc.).

Administrative Duties:

Provide general administrative support* to logistics and operations teams.

Manage office documentation, filing systems, and correspondence* related to logistics and company operations.

Prepare and update reports, meeting minutes, and internal communications*.

Assist in scheduling appointments, coordinating meetings, and maintaining records*.

Support the purchasing and inventory documentation* processes when required.

Ensure all administrative procedures align with company ISO standards* and internal controls.

Liaise with internal departments and external vendors for daily operational support*.

Requirements:

Diploma or Degree in Logistics, Business Administration, Supply Chain, or equivalent*.

Minimum 2 years of working experience* in freight forwarding, logistics, or administrative roles.

Good knowledge of import/export documentation and customs procedures*.

Proficient in Microsoft Office* and basic logistics software.

Strong organizational, communication, and multitasking* skills.

Able to work independently with attention to detail and accuracy*
