Position: Human Resources Supervisor, Executive
Reporting To:HR Manager
Location: Bukit Bintang, Kuala Lumpur, Malaysia (walking distance MRT Bukit Bintang)
Preferred Starting Date: 1st December 2025
Responsibilities:- Manage monthly payroll and the full scope of compensation and benefits for local and expatriate employees, including statutory contributions (PCB, SOCSO, EIS, EPF, HRDF), insurance, and other employee benefits.
- Prepare and submit employees' year-end tax documentation (EA forms) and the employer's annual tax declaration (Form E) in compliance with LHDN requirements.
- Manage expatriates' tax clearance (SPC) submissions with LHDN, ensuring complete documentation and compliance upon departure.
- Prepare and maintain accurate, audit-ready HR documentation to support internal and external audits, ensuring compliance with statutory requirements and Company policies.
- Update HR policies and procedures to ensure alignment with Malaysian labor laws, statutory requirements, IMS, and ISO standards.
- Maintain accurate employee data, attendance, leave, and medical claims records (digital and physical) and ensure data accuracy in HR systems or databases.
- Handle employee relations matters including discipline, grievances, counseling, and terminations in compliance with the Employment Act.
- Manage HR administration including offer letters, onboarding, confirmation, contract renewals, transfers, promotions, resignations, and offboarding procedures.
- Manage employee relations by addressing staff inquiries, providing support, and maintaining effective communication between employees and management.
- Assist in planning and coordinating employee engagement activities and internal events.
- Coordinate full-cycle recruitment processes, including managing job platforms (e.g., JobStreet), screening candidates, arranging interviews, and facilitating onboarding.
- Oversee employee onboarding activities, including orientation, induction, and integration programs for new hires.
- Ensure proper personal file documentation and compliance with internal hiring standards.
- Conduct Training Needs Analysis (TNA), develop and implement the annual training plan, and track training evaluation and effectiveness in accordance with the Company's competency frameworks.
- Oversee the full HRDF grant process, including preparing and submitting applications, coordinating with HRD Corp and training providers.
- Coordinate and track the performance appraisal process, including setting and monitoring KPIs, and following up on development plans.
- Manage expatriate work permits and employment pass applications or renewals; liaise with agents and immigration authorities.
- Ensure compliance with immigration and tax requirements for expatriate staff.
- Manage HR-related procurement including sourcing and liaising with vendors for insurance, training, work permits, and medical panels.
- Collaborate with HR colleagues across related entities to support shared responsibilities and ensure consistency in HR practices.
- Manage attendance devices to ensure accurate data and timely reporting.
- Contribute to HR data reporting, including training records, recruitment status updates, and HR file tracking.
- Perform other HR-related duties as assigned by the HR & Admin Manager.
- Bachelor's Degree in Human Resource Management, Business Administration, or a related field.
- Minimum 3 years of experience in human resource management.
- Solid knowledge of payroll, tax management, Malaysian labor laws, statutory requirements, training and ISO audit.
- Familiar with procedures related to managing foreign employees work permits and employment pass applications.
- Proficient in both written and spoken English, Chinese & Malay.
- Strong interpersonal, communication, and problem solving skills.
- Able to work independently, handle confidential matters and manage multiple HR functions effectively.

- 负责员工关系管理,处理员工咨询,提供支持,并保持员工与管理层之间的有效沟通。
- 协助策划与协调员工参与活动及内部公司活动。
- 负责全流程招聘工作,包括管理招聘平台(如 JobStreet)、筛选候选人、安排面试及新员工入职。
- 监督新员工入职流程,包括入职培训、公司介绍及融合项目。
- 确保员工个人档案文件齐全并符合公司招聘标准。

- 精通中、英、马三语的书面与口头表达能力。
