We are seeking a reliable and organized Office Assistant to support the smooth running of our daily operations. This role is ideal for someone with an administrative background who is passionate about maintaining an efficient and productive office environment.
Role Overview
The Office Assistant will play a key role in supporting administrative, clerical, and operational tasks across departments. You will ensure that daily office activities run smoothly, assist in record management, and support teams in logistics, coordination, and documentation. This position suits an organized, detail-oriented individual with at least one year of experience in office administration.
Key Responsibilities
Administrative & Clerical Support
- Provide general administrative and clerical assistance such as filing, photocopying, scanning, data entry, and document preparation.
- Assist in managing correspondence, including emails, memos, and phone calls.
- Maintain proper filing systems (both physical and digital) for easy document retrieval.
- Support the preparation of reports, letters, and meeting materials.
- Handle incoming and outgoing mail, courier services, and office deliveries.
Office Operations & Coordination
- Monitor and maintain office supplies and stationery inventory; raise purchase requests as needed.
- Coordinate with vendors, contractors, and service providers for office maintenance, repairs, or deliveries.
- Assist in organizing meetings, appointments, and company events.
- Support travel arrangements, accommodation bookings, and logistics coordination for staff when required.
- Ensure office equipment (printers, copiers, telephones) are in good working condition and report issues promptly.
Record & Data Management
- Maintain accurate and updated records of employee attendance, visitor logs, and office assets.
- Assist HR and Finance departments in documentation, filing, and administrative follow-ups.
- Prepare and update simple spreadsheets or databases for tracking office activities or expenses.
General Support
- Greet and assist visitors and clients professionally at the reception when required.
- Provide administrative support to management and other departments as directed.
- Uphold confidentiality and integrity in handling company documents and information.
- Contribute to maintaining a clean, organized, and professional office environment.
Who We're Looking For
- Diploma or Degree in Business Administration, Office Management, or related field.
- Minimum 1 year of experience in administrative or office support roles.
- Strong organizational and multitasking skills with attention to detail.
- Good communication and interpersonal abilities.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Reliable, punctual, and able to work independently with minimal supervision.
- Positive attitude, teamwork-oriented, and willing to learn new systems and processes.
