Functional Food Club Finance and Admin Executive/Manager
Job Summary
The Finance and Admin [Executive/Manager] is responsible for overseeing the financial and administrative functions of our organization. The ideal candidate will be highly organized, detail-oriented, and proficient in managing day-to-day financial operations and administrative tasks. This role requires excellent time-management, communication, and problem-solving skills to ensure smooth and efficient business processes.
Key Responsibilities
Financial Duties
Manage day-to-day accounting functions, including accounts payable and receivable, invoicing, and payment processing.
Conduct bank and account reconciliations and assist with month-end and year-end closing procedures.
Process expense claims, payment vouchers, and manage petty cash.
Assist in budget preparation, forecasting, and monitoring to ensure cost efficiency.
Prepare and generate financial reports, statements, and management reports for review.
Ensure timely processing of payroll and manage employee benefits administration.
Liaise with external auditors, tax agents, and government bodies to ensure compliance with relevant regulations.
Maintain accurate financial records, both physical and digital, and ensure confidentiality.
Reporting to CEO
Administrative Duties
Oversee general office administration, including managing office supplies and equipment inventory.
Coordinate with vendors, suppliers, and external partners.
Organize and maintain a proper and updated filing system for all company documents.
Handle general clerical work, such as correspondence, answering phone calls, and managing emails.
Support logistics and coordination for meetings, workshops, and company events.
Assist with other ad-hoc administrative tasks as required by management.
Required Skills and Qualifications
Education: A Diploma or Bachelor's Degree in Accounting, Finance, Business Administration, or a related field.
Experience: Proven experience in a finance and administration role is preferred. (e.g., 2+ years for an Executive-level role).
Technical Skills:
Proficiency in Microsoft Office, especially advanced knowledge of Excel.
Hands-on experience with accounting software
