Job Summary

The Finance and Admin [Executive/Manager] is responsible for overseeing the financial and administrative functions of our organization. The ideal candidate will be highly organized, detail-oriented, and proficient in managing day-to-day financial operations and administrative tasks. This role requires excellent time-management, communication, and problem-solving skills to ensure smooth and efficient business processes.

Key Responsibilities

Financial Duties

  • Manage day-to-day accounting functions, including accounts payable and receivable, invoicing, and payment processing.

  • Conduct bank and account reconciliations and assist with month-end and year-end closing procedures.

  • Process expense claims, payment vouchers, and manage petty cash.

  • Assist in budget preparation, forecasting, and monitoring to ensure cost efficiency.

  • Prepare and generate financial reports, statements, and management reports for review.

  • Ensure timely processing of payroll and manage employee benefits administration.

  • Liaise with external auditors, tax agents, and government bodies to ensure compliance with relevant regulations.

  • Maintain accurate financial records, both physical and digital, and ensure confidentiality.

  • Reporting to CEO

Administrative Duties

  • Oversee general office administration, including managing office supplies and equipment inventory.

  • Coordinate with vendors, suppliers, and external partners.

  • Organize and maintain a proper and updated filing system for all company documents.

  • Handle general clerical work, such as correspondence, answering phone calls, and managing emails.

  • Support logistics and coordination for meetings, workshops, and company events.

  • Assist with other ad-hoc administrative tasks as required by management.

Required Skills and Qualifications

  • Education: A Diploma or Bachelor's Degree in Accounting, Finance, Business Administration, or a related field.

  • Experience: Proven experience in a finance and administration role is preferred. (e.g., 2+ years for an Executive-level role).

Technical Skills:

  • Proficiency in Microsoft Office, especially advanced knowledge of Excel.

  • Hands-on experience with accounting software
