Job Description
Attendance
Update and monitor the Attendance in the System
Track, monitor, update & maintain the Employees master List
Coordinate the workers daily according to each department's requirements
Liaise with the Manpower agency when necessary
Recruitment
Assist the HOD with recruitment
Upload job ad in Jobstreet & My future job
Help to screen the resume
Scheduled for an interview
Do a comparison report
Assist the HODs for the interview session
Onboarding process: -
Prepare the necessary documents for the orientation
Create a file and offer letter for the supervisor and the following Positions
Explain the company rules and regulations clearly
Placement accordingly
Register with the device or mobile app & System
Support HOD for the onboarding process
Report/Correspondences
Leave reports
Employees in and out updates
Employees' movement reports
Track the confirmation of the employees
Prepare the probationary evaluation form
Prepare evaluation table
Prepare a confirmation letter for the Supervisor and below
Update Leaves in the system
Employee verification letter
Payroll & benefits support
Update the attendance accurately for the payroll process
Update the leaves and late in properly
Update the time off slip and hours accordingly
Inform HOD about the lateness and unpaid leave properly
Sort the Approval from Hanbiro and calculate the OT accordingly
Assist the HOD in submitting CP22 & Socso registration
Update and email the Attendance to all the manpower agencies to get an invoice
Check the invoice summary and the foreign workers' salary
Administration Job
Update employees' movements for insurance update
Answer basic HR queries from employees
Help coordinate training sessions
Help with lamination and filing
Assist the G&A when required
Support employee engagement program
Raise RFD and PV
Compliances and documentation
Ensure HR policies and the employee handbook are followed
Assist with audits, labor law compliance, and reporting
Assist with ISO documentation
Assist the HOD for KDN/immigration or other relevant documentation
Assist with Insurance claim & Socso claim
Update the attendance daily on the server
Skills & Qualities Needed
· At least a Diploma or equivalent qualification in the relevant field
· Good communication (written & verbal).
· Able to do multitasking
· Familiarity with HR systems (like SQL, INVOCORE)
· Basic knowledge of labor laws and statutory requirements
