Perform day to day processing of account payable (AP) & account receivables (AR) transactions to ensure that finance report are maintained in effective, up to date and accurate manner. Main activities:

  • Sort and match Invoice against Purchase Order and items ordered and resolved invoice discrepancies in a timely manner.
  • Process account payable cheque and telegraphic transfer payment and prepare documents such as Purchase Order, Capital Expenditure Requisition and Payment Voucher.
  • Issue Debit Note and Credit Note where required with supporting documents such as supplier invoice.
  • Reconciles financial data for the purpose of maintaining accurate account balance and ensuring compliance with established accounting practices.
  • Monitor account to ensure payments are up to date.
  • Correspond with vendors and respond to inquiries.
  • Update payment into weekly cash flow report.
  • Update fixed asset register on monthly basis.
  • Obtains revenue by verifying transaction information; computing charges and refunds; preparing and mailing tuition fee invoices; identifying delinquent accounts and insufficient payments.
  • Ensure all cash collected are kept in safe at the end of the day. Deposit all cash & cheque collected on every Tuesday and Friday. Generation of long overdue AR ageing reports for bad debts assessment.
  • Identify and update unknown deposits on weekly basis.
  • Prepares financial reports by collecting, analyzing, and summarizing account information and trends.
  • Update AR report on weekly basis.
  • Prepare quarterly revenue recognition schedules (Revenue/Advance acct).
  • Check revenue summary to reasonableness test (Revenue proofing report).
  • Additional reporting – AR collection & Active/inactive students, student population & revenue profile.
  • Organize and maintain proper filling system. Ensure the confidentiality and security of all financial files.
  • Respond to inquiries of staff and administration regarding financial procedures for the purpose of providing information, direction and/or referral for addressing inquiry.
