Role

Responsible for end-to-end procurement activities including sourcing and qualifying suppliers, issuing RFQs, negotiating terms, and evaluating performance. Handles purchase requisitions, POs, and ensures compliance with company policies. Coordinates logistics, monitors deliveries, and resolves site issues. Maintains accurate documentation and supports invoice verification. Acts as liaison between suppliers and internal departments to ensure timely and cost-effective material supply.

Responsibilities:

1. Sourcing & Supplier Management

  • Identify, evaluate, and qualify new suppliers to maintain a reliable supply chain.
  • Request and compare quotations (RFQ/RFP) based on cost, quality, and delivery.
  • Negotiate prices, terms, and contracts to achieve best value.
  • Build and maintain strong supplier relationships.
  • Evaluate supplier performance for quality, delivery, and service compliance.

2. Purchasing & Order Processing

  • Review and verify internal purchase requisitions.
  • Prepare and issue Purchase Orders (POs) in line with company policies.
  • Ensure compliance with procurement procedures and ethical standards.
  • Track order confirmations and manage order amendments or cancellations.

3. Logistics & Delivery Coordination

  • Coordinate shipments and deliveries with suppliers and logistics partners.
  • Monitor order progress to ensure timely delivery and prevent project delays.
  • Resolve delivery issues, discrepancies, or emergencies at site.
  • Collaborate with site/warehouse teams for smooth goods receipt and inspection.

4. Documentation & Administration

  • Maintain accurate records of POs, contracts, and supplier communications.
  • Handle Delivery Orders (DOs) and perform invoice verification (three-way matching).
  • Support Finance in timely supplier payments.
  • Prepare reports on procurement status, cost analysis, and supplier performance.

5. Stakeholder Communication

  • Liaise between internal departments and external suppliers.
  • Provide updates on material status and delivery schedules.
  • Understand project requirements to ensure correct materials and specifications are sourced.

Requirements:

  • Minimum Diploma or Degree in Business Studies, Administration, Management, Commerce, Logistics/Transportation, or equivalent.
  • At least 1 year of experience in the purchasing field, preferably with exposure to construction materials procurement or procurement in construction/property development.
  • Fluency in Mandarin (verbal & written) is preferred to handle HQ documents and liaise with Mandarin-speaking vendors.
  • Strong communication and interpersonal skills to collaborate effectively with cross-functional teams.
  • Able to work under pressure, meet tight deadlines, and perform with minimum supervision.
