The HR & Admin Assistant is responsible for providing administrative support to the HR department, focusing on maintaining employee records, handling HR-related documentation, coordinating employee certifications and trainings, and assisting in company events and general administrative tasks.

Key Responsibilities:

1. HR Administration

  • Maintain and update employee personal files and HR databases accurately.
  • Ensure all employee records (e.g., IC copy, contract, training and medical documents) are properly filed and up to date.
  • Track and monitor employee documents such as typhoid, FHC, Halal, and other HR compliance requirements.
  • Assist in coordinating and scheduling employee trainings such as Halal, FHC, and safety courses.

2. Employee Engagement & Communication

  • Support in planning and organizing company engagement activities and staff events (e.g., festive celebrations, appreciation events, etc.).
  • Assist in preparing communication materials or announcements to employees.

3. Administrative Support

  • Handle outlet administrative requests such as document printing, scanning, and courier arrangements.
  • Monitor and maintain office supplies such as stationery and pantry/refreshment items; ensure adequate stock and timely replenishment.
  • Maintain proper record keeping of HR and administrative documents.
  • Support other day-to-day office administrative operations as assigned by the HR team or management.

4. General Support

  • Liaise with internal departments and outlets to ensure smooth HR administrative processes.
  • Assist in other ad-hoc duties or projects assigned by the HR Executive/Manager.

Qualifications:

  • Diploma/Bachelor's degree in Human Resources, Business, or related field (or equivalent experience).
  • Minimum 1 year of relevant experience in HR or administrative support.
  • Mandarin Speaker is an advantage.
  • Ability to work independently and as a team.
  • Ability to multitask and meet deadlines in a fast-paced business environment.
  • Excellent communication and interpersonal skills.
  • Strong organizational and time-management skills.
  • Applicants must possess own transport.
  • Must be willing to work in Johor Jaya, Johor Bahru
