Job Description:-
1. Executive Support to Managing Director- Manage and coordinate the MD's daily schedule, appointments, and meetings.
- Screen and prioritize emails, calls, and requests addressed to the MD.
- Prepare confidential documents, reports, proposals, and presentation materials.
- Maintain strict confidentiality of all executive-level information.
- Act as the primary point of contact between the MD and internal/external parties.
- Draft, review, and prepare correspondence on behalf of the MD.
- Coordinate communication flow between the MD and departments/outlets.
- Ensure timely follow-up on tasks assigned by the MD to various departments.
- Organize board meetings, management meetings, and internal reviews.
- Prepare meeting agendas, minutes, and follow-up action items.
- Coordinate travel arrangements, itineraries, accommodation, and logistics for the MD.
- Maintain organized filing systems (digital & physical) for confidential documents.
- Prepare payment requests, claims, reimbursements, and other paperwork for the MD.
- Monitor department deadlines and ensure submission of reports to the MD on time.
- Assist with project tracking and progress updates.
- Assist the MD with personal administrative matters when required.
- Conduct basic research, gather information, and compile reports for decision-making.
- Support internal audits, compliance checks, and policy documentation as directed by the MD.
- Handle urgent or unexpected matters professionally and efficiently.
Job Requirement:-
- Diploma/Degree in Business Administration, Management, or related field.
- Minimum 3–5 years' experience as a Secretary or Executive Assistant (preferably supporting senior management).
- Excellent command of English, Mandarin, and Bahasa Malaysia is an advantage.
- Strong proficiency in MS Office (Word, Excel, PowerPoint).
- Exceptional organizational, multitasking, and time-management skills.
- High level of integrity, confidentiality, and professionalism.
- Strong communication and interpersonal skills.
- Ability to work independently and handle pressure and tight deadlines.
