Job Scope: Assistant HR & Admin
1. Human Resources (HR) Responsibilities
  • Assist in recruitment and selection: posting job ads, shortlisting candidates, scheduling interviews, and preparing offer letters.
  • Maintain and update employee records, files, and contracts.
  • Support onboarding and offboarding procedures, including induction, documentation, and exit formalities.
  • Track attendance, leave applications, overtime, and maintain HR records.
  • Assist in payroll preparation by collecting attendance and leave data.
  • Prepare HR letters and documents such as warning letters, confirmation letters, resignation acceptances, and employment verification.
  • Respond to employee inquiries regarding HR policies, leave, and employment matters.
  • Assist in performance evaluation follow-ups and documentation.
  • Ensure compliance with company HR policies and local labor laws.

2. Administrative Responsibilities
  • Manage general office operations and ensure a well-organized workplace.
  • Handle correspondence, incoming calls, and visitors.
  • Maintain office supplies, stationery, and equipment inventory.
  • Assist in scheduling meetings, appointments, and travel arrangements.
  • Ensure proper filing and maintenance of company documents, licenses, and standard operating procedures (SOPs).
  • Support company events, training sessions, and employee activities.

3. Compliance & Record-Keeping
  • Ensure HR and admin records are accurate and up-to-date.
  • Assist in internal audits or inspections.
  • Maintain confidentiality of employee and company information.

4. Other Duties
  • Support HR/Admin Manager or Management with ad-hoc tasks.
  • Coordinate with other departments for HR/admin-related activities.
  • Perform any duties assigned by management relevant to HR or administrative operations.
