Expro Group are currently recruiting for an Administration Coordinator to join Region team based in Kuala Lumpur office.

Overall Purpose of the Job**:


Provide high quality support to members of the department and undertake all relevant administrative duties and tasks, visa and work permit related work assignments, manage training request / HRDF related tasks and providing administrative support.


Key Activities and Accountabilities**:

  • Assist on Purchase Requisition creation for Region request.
  • Coordination of training requests and registration, planning and organizing training programs and administration of HRD Corp related matters and follow-up for Region employees
  • Actively adheres to the Code of Conduct and Anti-Bribery policies, procedures and processes to ensure the highest ethical standards are maintained and exposure to liability or risk to Expro's reputation is minimized. When necessary, report possible violations or conflicts of interest.
  • Actively adhere to and ensure compliance with applicable Quality policies, procedures, processes and systems. Take an active part in quality improvement processes. Identify and report any deficiencies to supervisor and obtain authorization for any deviations from standard procedures.
  • Provides support to the Region Human Resources Manager and members of the Human Resources department at Region and Malaysia offices.
  • Ensure objectives set under Employee Development Plan (Expro's Performance Management) are met.

Job Knowledge and Qualifications:

  • Has 2 years' experience in being the focal point for vendors and participants including maintaining training records (e.g. trainee lists, schedules, attendance sheets, compiling feedback forms, and classroom set-up). Also familiar with handling accounts payable and ensuring that training invoices are paid.
  • Good communications skills in both English and Bahasa Malaysia.
  • Proficient in Microsoft office (Excel, PowerPoint and Word).

Overall Purpose of the Job:

Provide high quality support to members of the department undertaking all relevant administrative and secretarial duties. This will include the production of complex reports, presentation and other supporting documentation, using spreadsheets, etc., as necessary. Supervise administration team.

Key Activities and Accountabilities:

  • Provide administration support to senior management including reporting and event management.
  • Collate information for power point presentations, ensuring these are formatted and prepared in a timely manner.
  • Liaise with HR in terms of any new starts and leavers ensuring that department inductions are carried out.
  • Complete job requisitions in the system for any new positions.
  • Process expense claim forms for senior management/Directors.
  • Control and implement ordering of stationery, office furniture and canteen supplies for the department as necessary.
  • Assist to make arrangements for business-related events and functions; book and set up meeting rooms, arrange equipment, documentation, lunches etc as necessary.
  • Organise and co-ordinate travel arrangements for department as required.
  • Assist with the preparation of all business visit visas and arrange vaccination appointments where required.
  • Resolve any administrative problems and or enquiries.
  • Book training courses for the department and maintain record of all training courses.
  • Supervise administration team members.

Job Knowledge and Qualifications:

1. 6+ years experience in administrative and clerical procedures, including preparing correspondence and filing

  • Proficient in Microsoft office (Excel, PowerPoint and Word)
  • Experience of a database management system
  • Qualification in Business Administration preferred
  • Previous supervisory experience
