This position works closely with the HR team, local recruiters, and training service providers to coordinate the routine HR operations.


Main Tasks:
HR Operations

  • Assist the HR Specialist in managing, monitoring, and processing staff movements, including confirmations, new hires, contract expirations, and resignations, in a timely manner.
  • Update and maintain staff attendance and leave records in the system.
  • Review job descriptions, ensuring they are documented and filed promptly.
  • Organize employees' personal files systematically and in a timely manner.
Recruitment

  • Support the HR Specialist by serving as a point of contact for the entire recruitment process, including hiring requisitions, job postings, sourcing, interviews, the selection process, offer management, and other pre- and post-hiring activities.
  • Maintain and update HR induction slides.
  • Conduct effective onboarding induction sessions for new staff and manage the off-boarding process.
  • Ensure the timely collection of all relevant pre- and post-employment documentation to facilitate efficient and seamless processing by other HR sub-units.
Learning & Development

  • Assist the HR Specialist by serving as a point of contact for external parties, such as training vendors. This includes reviewing training quotations, contracts, and agreements, as well as handling fee negotiations.

Skills:

  • Posted with a thorough understanding of HR and solid experience in end-to-end HR operations is highly desirable.
  • Strong problem-solving and analytical skills.
  • Action-oriented, detail-minded, and organized.
  • Ability to establish and maintain effective working relationships with multiple stakeholders, including interdepartmental teams and external vendors

Qualification:

  • Graduate with a Diploma/ bachelor's degree preferred.
  • With approximately 1 to 3 years working experience in similar job function
  • Proficiency in Microsoft Word and Excel is mandatory.
  • Requires language proficiency in English and Malay.
