Responsibilities- Manage end-to-end recruitment, including job postings, screening, interviews, and selection.
- Manage employee onboarding, orientation, confirmation, transfer and resignation or exit interview process.
- Source and manage recruitment platforms such as Jobstreet, Company's LinkedIn, etc.
- Work closely with department heads to understand hiring needs and implement talent acquisition strategies to attract top talent.
- Act as a key point of contact for employee queries, grievances, and conflict resolution.
- Promote a positive work environment through employee engagement initiatives.
- Ensure all disciplinary matters are processed timely according to the company disciplinary procedures.
- Work with HR & Admin team to organize corporate events such as team bonding activities, family day, company's dinner, festival events, etc.
- Ensure adherence to local labor laws, employment regulations, and industry best practices.
- Develop, update, and enforce HR policies, employee handbooks, and code of conduct.
- Handle legal documentation, employment contracts, and HR-related statutory requirements.
- Prepare and submit documentation for labor disputes, negotiations, and regulatory requirements.
- Manage grievances, disciplinary actions, and termination processes in a fair manner.
- Conduct internal audits to ensure HR compliance and avoid legal risks.
- Manage quarterly and yearly company compensation and performance appraisal processes.
- Provide guidance to managers and employees on performance reviews and career development.
- Monitor company's HRDF portal and end-to-end external training organization.
- Identify skill gaps and recommend training programs for employee growth.
- Assist HR manager on monthly payroll preparation and calculation.
- Administer employee benefits such as employee insurance, incentives, and any benefits plan.
- Assist in developing rewards and recognition programs to boost employee motivation.
- Review and optimize compensation policies based on employee feedback and market trends.
- Address employee concerns regarding compensation, benefits, and incentives.
- Provide immediate response to all general inquiries regarding HR practices, policies, employment laws, etc.
- Oversee and support day-to-day HR operations, ensuring consistency in HR practices.
- Review and monitor employee leave applications, attendance tracking, and balance leave entitlement.
- Review and monitor employee business trip applications and expenses claims.
- Maintain company records, employee files, and confidential documents.
- Liaise with government authorities such as LHDN, Immigration Office, etc., for related issues.
- Oversee daily office operations and ensure smooth workflow.
- Plan, purchase, and manage office supplies, equipment, and inventory management.
- Coordinate office security, cleanliness, and facility maintenance.
- Ensure timely payment to cleaning, plant rental, and other vendors.
- Ensure timely renewal of company licenses.
- Assist in organizing employee engagement activities and welfare programs.
- Candidate must possess at least a Degree in Human Resources, Business Administration, or equivalent.
- Required language(s): Bahasa Malaysia, Chinese, English.
- At least 1-3 years of working experience in the related field is required for this position.
- Preferably with working experience in the automotive industry.
- Multi-tasking, meticulous, think outside the box, have a sense of urgency, and able to meet deadlines.
- Familiar with solid knowledge of Malaysian Employment Act, labor laws, statutory requirements, and other relevant regulations.
- Excellent oral and written communication & negotiation skills.
- Intermediate or advanced Microsoft Office skills.
