**Overview**:

- To ensure the smooth operation of Production department. This position involves managing various administrative tasks, facilitating communication, and supporting operational processes. The Production Administrative Assistant works closely with managers, supervisors, and team members to maintain efficient workflows and enhance overall productivity.

**Responsibilities**:

- Support budget tracking and expense management activities for the Production department, including raising purchase requisition, processing invoices and purchase orders.
- Maintain accurate records and databases related to operational activities, such as inventory, work orders, and equipment maintenance logs.
- Coordinate travel arrangements, accommodations, and logistics for department personnel as needed.
- Serve as the Focal point for Records and Document Management for Production Department, including document version and access control of production documents, e.g. operating procedures/work instruction, etc.
- Assist in the onboarding process for new hires, including paperwork, orientation, and training coordination.
- Manage office supplies, PPE equipment, and facilities to ensure availability and functionality for day-to-day operations.
- Provide administrative support to the Production department, including managing schedules, coordinating meetings, and handling correspondence.
- Assist in the preparation and distribution of reports, presentations, and other documents as required by management or regulatory agencies.
- Assist in the implementation and maintenance of safety protocols, including tracking training records, conducting safety audits, and ensuring compliance with regulations.
- Collaborate with cross-functional teams, including human resources, finance, and facilities management, to address operational needs and resolve issues effectively.

**Job Requirements**:

- Min. High school SPM/SKM, Diploma or equivalent; associate degree or relevant certification in business administration, supply chain, engineering is preferred,
- Min. 5 experience in administrative support roles in a refinery/petrochemicals or similiar plant operations or manufacturing environment.
- Strong organizational skills with the ability to prioritize tasks, manage time effectively, and meet deadlines.
- Excellent communication skills, both verbal and written, with the ability to interact professionally with individuals at all levels.
- Attention to detail and accuracy in data entry, record-keeping, and document preparation.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Adaptability and willingness to learn new tasks or processes as needed.
- Ability to work independently with mínimal supervision, as well as collaboratively as part of a team.

Pay: RM3,500.00 - RM5,500.00 per month
