Medical Operations Coordinator

- Fluency in _**Mandarin**_ _or _**Japanese **_(speaking and writing) is required._
The Medical Operations Coordinator will be responsible for supporting the daily administrative work for the Medical Operations team. In this role, the Medical Operations Coordinator will work closely with various Vikand Managers of Shipboard Medical Operations (MSMO) and client accounts. The coordinator will have a strong customer service focus while dealing with internal and external customers including guests and crew, onboard medical teams, clients, and the internal Vikand team.
**Responsibilities**:
**Customer Service, Communication, and Service Delivery**:
- Accountable for outstanding customer service to external (Cruise ship clients, Guests, and Crew) and internal customers (VIKAND Team)
- Ensures timely and professional communication
- Inform and collaborate with Medical Operations Team with any customer complaints to assure a timely follow-up response.
- Communicates and collaborates with the Medical Managers on client-specific issues, needs, requests, or concerns.
- Reports in a timely manner on outcomes of assigned projects.
**Medical Operations**:
- Provide administrative support in dealing with liaising with the shipboard medical team on stock management and monthly inventory management.
- Review shipboard formularies and monthly shipboard orders against previously identified par levels.
- In conjunction with the MSMO, work closely with the procurement team to ensure orders are actioned in a timely manner.
- Collaborate with the MSMO to issue chest certificates
- Liaise with the biomedical team and MSMO to arrange any pending biomedical ship visits for Medical Operations clients.
- Ensure all pending equipment issues are followed up and resolved in conjunction with the MSMO and biomedical team.
- Provide administrative support for SeaCare, such as creating user accounts
**Guest Questionnaires**:
- Review and approve cruise guests’ medical history and evaluate fitness to travel for designated client accounts.
- Ensure all guest questionnaires and any inquiries are responded to per company policy
- Per company process, provide instruction to guests requiring additional testing and/or documentation.
- Consult with Chief Medical Officer or designee in cases where secondary medical review is necessary to establish the guest is cleared to cruise.
- Document all guest communications and update client’s passenger record with relevant information regarding clearance to sail.
**Pre-employment Medical Exams (PEME)**:
- Review and approve crew pre-employment medical exam (PEME) and evaluate fitness to work and travel for designated client accounts. All applicants must pass all the required standards set by the flag state of the vessels, PEME / REME clinic, local government requirements, and each account’s medical standards.
- Ensure all pre-employment medical forms and requirements are complete and exams are performed as per company standards
- Document, maintain, and update the PEME Track Form Daily.
- Maintain and update the Client PEME Requirements spreadsheet where necessary
**Case Management**:
- Provide case management/care team support to the disembarked crew and/or guests for designated clients as necessary.
- Maintain accurate records of case management within SeaCare as required
- Maintain accurate information in the Case Management Tracking Log
- Track, upload, and process crew invoices
General:
- Identify areas for quality improvement and improved customer experience
- Be available to work shift work where necessary
- Support any other areas of business as allocated by the Vikand leadership team.
**Experience Required**
- **Nursing degree**:
- 1+ years experience working on **cruise ships** preferred
- Experience using **SeaCare **preferred
- Understanding of HIPPAA / GDPR compliance
- Understanding of flag state requirements, MLC, and other maritime regulations preferred
- Experience with data entry, record keeping, and computer operation
- Fluent in English
- **Fluent in Mandarin or Japanese**:
- Proficiency in Microsoft Office
- Must demonstrate excellent written/verbal interpersonal communication and problem-solving skills.
- Ability to manage own time and schedule own tasks. Must have the initiative to work efficiently without constant supervision and direction
