BASIC FUNCTION
Responsible to assist the Purchasing Manager in the day to day procurement of materials required for the hotel.
DUTIES & RESPONSIBILITIES
1. Obtains for each item purchased at least three quotations are obtained.
2. Documents every purchase proper and ensures that they are duly authorized prior to placing an order.
3. Follows the minimum-maximum-parstock principle for re-ordering inventory items.
4. Updates price quotations for all market list items.
5. Secures delivery of required market list item at reasonable prices and in keeping with the Hotel’s quality standards.
6. Completes a purchase request for each vendor selected, assigns consecutive number, logs purchase requests, place orders.
7. Distributes purchase request copies in a timely manner, maintains accurate and up-to-date files.
8. Prepares purchase orders as required by local policy, logs and cross-references purchase orders to purchase requests, distributes copies.
9. Keeps HOD posted on the status of pending purchases.
10. Pays particular attention to discrepancies between quoted and delivered prices noted by the receiving and obtains clarification from suppliers.
11. Procures emergency requirements for the hotel.
12. Keeps the vendor file in the system up-to-date.
13. Traces P.R.s, P.O.s and Market Lists.
14. Prints and reviews regularly the outstanding order list, supplier list by purchase volume and merchandise receipt variance report.
15. Performs other related duties from time to time assigned by the Purchasing Manager.
