**About Role**

As the Office Admin & IT Executive at Docquity Malaysia, you will serve as a pivotal member of the team, responsible for managing both office administrative and IT functions to ensure the smooth operation of the office and technological infrastructure. This combined role offers a unique opportunity to contribute to the efficiency and effectiveness of the organization across multiple domains.

**Job Title**: Office Admin & IT Executive

**Work Experience**: Min. 1 Year

**Location**: TTDI, KL & Bandar Utama, Selangor

**Academic Qualification**: Bachelor's degree in Computer Science, Information Technology, Business Administration, or related field.

**Office Administration**:

- Maintain office supplies inventory and place orders as necessary to ensure adequate stock levels.
- Coordinate office maintenance and repairs, liaising with vendors and service providers as required.
- Arrange travel itineraries and accommodations for employees, ensuring cost-effectiveness and adherence to company policies.
- Assist in managing travel expenses and office reimbursement processes.
- Schedule and organize meetings, conferences, and events, including booking venues and coordinating logistics.
- Prepare meeting agendas, minutes, and other relevant documentation, ensuring accuracy and timely distribution.
- Assist in the coordination of company-wide events and activities, fostering team engagement and collaboration.
- Maintain employee records and assist in the onboarding process for new hires.
- Support HR-related activities such as administrative tasks pertaining to recruitment, employee engagement programmes, employee onboarding and offboarding, and many more.
- Maintain accurate records and documentation, both electronic and physical, in compliance with company policies and regulations.
- Organize and maintain filing systems, ensuring easy retrieval and confidentiality of information.
- Assist in the preparation of reports, presentations, and other documentation as requested.

**IT Executive Responsibilities**:

- Develop and implement scalable solutions to meet the company's evolving needs and facilitate growth.
- Lead the procurement process and manage the acquisition of IT assets.
- Maintain comprehensive reports for IT assets and oversee data management.
- Manage and optimize the company's IT infrastructure, encompassing servers, networks, and databases.
- Monitor system performance, diagnose issues, and ensure seamless operations.
- Work closely with internal teams to understand software requirements and craft tailored solutions.
- Ensure adherence to pertinent regulations and standards, including those for data security and privacy as set by regional offices.
- Offer technical support to employees, addressing hardware, software, and connectivity issues.
- Keep abreast of emerging technologies and industry trends, evaluating their potential impact.
- Collaborate with management to devise IT strategies aligned with business objectives and growth plans.

**Skills required**
- Bachelor's degree in Computer Science, Information Technology, Business Administration, or related field.
- Proven experience in administrative and IT management roles, preferably in the healthcare or technology sector.
- Strong organizational, time management, and prioritization skills.
- Excellent communication and interpersonal skills, with a customer service-oriented approach.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
- Proficiency in Google Product (Doc, Sheet, Slide) and other office software.
- Analytical mindset, problem-solving abilities, and attention to detail.
- Ability to work independently as well as part of a team, with a proactive and positive attitude.
