Manage and maintain executives' schedules, appointments, and travel arrangements as directed.
- Assist in the preparation of regularly scheduled reports.
- Record, transcribe and distribute minutes of meetings.
- Monitor, respond to, and distribute incoming communications.
- Answer and manage incoming calls.
- Co-ordinate project-based work and grant management as assigned.
- Upkeep and adhere to operating practices and proposed improvements where necessary.
- Plan and organize office events, meetings, and employee team building activities or special projects as assigned.
- Ensure compliance with all necessary standards and regulations for business operations.
- Oversee office upkeep, manage visitor reception, handle company accessories and collateral updates, and coordinate the dissemination of memos, announcements, and the printing of collaterals.
- Assist to oversee and optimize daily operational processes, ensuring efficiency and effectiveness in workflow.
- Organize and maintain files and records within the scope of business administration and operations.
- Handle all aspects of documentation administration including insurance management, stamping of contracts, managing mailings, filing, and ensuring proper execution and distribution of documents, maintaining a systematic and organized approach to document management.
- Oversee the management of company assets and inventory, ensuring accurate tracking, optimal utilization, and efficient procurement.
- To undertake ad hoc functions and related duties as and when required by the Supervisor.

**Job Requirements**:

- Private Secretary Diploma (PSD)/ Business Administration Diploma or any related qualifications
- Ideally a minimum of 1 year of experience in providing administrative and office operation support.
- Fresh grad with minimum qualifications achieved and growth mindset is acceptable. Training will be provided.
- Experience in administration matters of a medium size company.

**Salary**: RM2,500.00 - RM3,300.00 per month

Schedule:

- Day shift
- Monday to Friday

**Education**:

- Diploma/Advanced Diploma (required)

**Experience**:

- Administration: 1 year (required)

**Language**:

- Mandarin (preferred)
- Bahasa (preferred)
