We are looking for an Office Administrator to join us, where you will collaborate closely with our full team across many aspects.
**What you will do**
- **Provide general administrative support** **to teachers **- e.g. type up notes for teachers, printing/ photocopying, retrieve references/ documents, maintain school calendar, make travel bookings, mailing packages
- Typing notes for teachers/ assist with teaching materials preparation
- Printing / photocopying
- File / reference retrieval
- Mailing items
- Travel bookings; Correspondence with external parties on potential visits
- **Oversee and maintain premises and equipment**
- Manage utilities & equipment - e.g. electricity, water, internet, printers, teaching materials, appliances. Ensure in good working order, order supplies / spare parts as required. Maintain stock list.
- Ensure overall tidiness and cleanliness - liaise with cleaner, water plants, launder kitchen/ toilet amenities
- Coordinate and oversee office repairs and maintenance - liaise with landlord if required
- **Assist with communications with parents and students**
- Maintain admin Whatapp chats with parents
- Share regular admin update - invoices and payments, school calendar, class / holiday reminders, newsletters, events etc

- Student data
- Update assessment/ compliment letters tracker
- **Oversee and maintain bilden records**
- Lesson planning and program files (digital and hard copy)
- Letter to Parents/ Letter to Students
- Internal Project reports
- Staff attendance and oversee timesheet completion for part-time staff
- **Assist with financial records**:
- generate invoices and record payments; make payments to vendors and retain receipts; organize staff expense reimbursements
**What we are looking for**
- Proactive, positive, open-minded attitude, with the ability to suggest improvements
- Three or more years of experience in office management
- Proficient in English; Chinese proficiency preferred but not compulsory
- Strong time-management and interpersonal skills, attention to detail, good organisational, communication and planning skills
- Has the ability to anticipate needs
- Ability to maintain confidentiality of company information
- Able to work independently under minimum supervision
