Administrative Assistant

Kechara Soup Kitchen (KSK) has been serving marginalised communities in Malaysia for over 15 years; these include the homeless, urban poor and Orang Asli populations. In recent years we have strategically expanded our focus upstream of the poverty curve to reach the urban poor via our Food Bank and Empowerment Programs. These programs aim to provide assistance to the most vulnerable segments of our community before they fall into complete poverty and hardship.
**Job Description**:
A. Manage phone calls and WhatsApp messages for:
a. Donation
b. Volunteering
B. Manage and update volunteer and donor database
C. Visitors
1. Enquiries; provide basic KSK information.
2. Receive donation drop offs
D. Upkeep
1. Take care of assets and premises: a. Ensure it is always clean and organised.
i. rubbish are thrown away on a daily basis.
ii. pay utility bills, licence etc.
iii. doors are locked and secured before leaving.
b. Arrange for service and maintenance if spoiled/damaged.
E. Petty cash
1. Utility and bill payments.
2. Purchases and expenses
F. Take care of:
a. Equipment:
i. Vehicle,
ii. Furniture and fittings.
b. Manage merchandise inventory and register.
G. Reporting
1. Communicate with Admin HQ on specific tasks.
2. Weekly premises photo updates.
3. Donation box report.
4. Inventory register.
H. Other clerical work
1. Draft letters.
2. Data entry:
a. key in interview/assessment forms.
3. Archive clients/recipients photos.
5. Order 3rd party pick up services.
6. Check mailbox.
**Salary**: RM1,800.00 - RM2,500.00 per month
