To support our extraordinary teams who build great products and contribute to our growth, we're looking to add a/an Senior Executive Assistant located in Malaysia, Penang.
What a typical day looks like:
- Manage and organize schedules for senior executives
- Coordinate and schedule staff & all-hands meetings
- Make travel arrangements, including detailed itineraries, visa applications, and hotel reservations
- Manage travel and entertainment budget planning and submit expense reports
- Organize and coordinate employee engagement initiatives and related events
- Oversee office space needs, including the setup of workstations for new hires
- Maintain standards in the upkeep of office facilities and equipment, including stationery and pantry supplies
- Manage yearly contracts such as office rental and company insurance related to administrative functions
- Deliver high-quality administrative support services to top management while handling confidential information
- Create and manage publicity of site newsletter, SharePoint sites, and update organization charts
- Compile and organize finalized minutes, notes, and follow-up tasks ensuring accurate capture and organization
- Prepare PowerPoint presentation as required by management
- Draft and prepare internal and external correspondence including letters and memos
- Maintain the filing system and document preparation for various administrative needs
- Manage monthly budgetary control for general expenses and staff expense claims
The Experience We're Looking To Add:
- Typically requires a minimum of 10 years of experience in business and/or administration
- Typically requires completion of high school, vocational training, or equivalent with experience in the use of computer applications plus general clerical experience
- May require minimal functional process knowledge
