Operations & Admin Manager (Team Coordination, Scheduling, Payments & QA)

We are looking for a highly organized and responsible **Operations & Admin Manager** to oversee day-to-day team activities, ensure deadlines are met, appointments are properly scheduled, payments and collections are handled efficiently, and all tasks are double-checked for quality.
This role requires someone who is proactive, detail-oriented, and comfortable taking the lead in managing staff workflows and ensuring the smooth operation of the business.
**Key Responsibilities**:
- Supervise and coordinate staff to ensure all assigned tasks and deadlines are completed on time.
- Schedule and manage appointments, meetings, and deadlines across the team.
- Monitor work quality, perform checks, and follow up on tasks to maintain high standards.
- Manage payment tracking and follow up on collections to ensure timely transactions.
- Act as the point of contact between staff and management to relay tasks, updates, and feedback.
- Maintain records of completed tasks, client appointments, and payment statuses.
- Suggest improvements to workflow or systems for greater efficiency.
**Requirements**:
- Proven experience in team or operations management, admin coordination, or similar roles.
- Excellent organizational and multitasking skills.
- Strong communication and leadership abilities.
- Comfortable using digital tools for scheduling, task management, and record-keeping (e.g., Google Workspace, Trello, Notion, Excel).
- Trustworthy, detail-oriented, and highly dependable.
**Nice to Have**:
- Experience in e-commerce, customer service, or creative/digital environments.
- Familiarity with invoicing systems or basic accounting.
- Ability to work independently and handle sensitive information with discretion.
