**Job Description**:
Selekta Spektra Sdn Bhd is a waste management Company, providing environment friendly solutions for the transfer and management of municipal solid waste in Ipoh, Perak. We are looking for a competent Executive Secretary to support high-ranking officials (top Executives) in our corporate office in Petaling Jaya, Selangor.
You will be the one to organize and maintain the top executives’ schedule and assist them by performing a variety of administrative tasks. You must be quick professionals with great time-management and multitasking abilities. Your diligence and competence in work will ensure the top Executives can focus on their managerial responsibilities without worrying for other tasks.
**Responsibilities**:
1. Prepare, arrange and maintain executive’s agenda and presentations.
2. Attend meetings, preparing attendance records, prepare minutes and keep minutes record.
3. Assist in planning appointments, board meetings, conferences and corporate events etc.
4. Receive and screen phone calls and redirect them when appropriate
6. Make travel arrangements for executives/ directors
7. Handle confidential documents ensuring they remain secure with systematic filing
8. Prepare cost analysis and comparisons for tenders and understand simple financial statements
9. Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective purchasing/orders
10. Maintain electronic and paper records ensuring information is organized and easily accessible
11. Conduct research and prepare presentations, speech or reports as assigned
**Requirements**:
1. Proven experience as executive secretary or similar administrative role
2. ICSA (Institute of Chartered Secretaries and Administrators) and Degree in business administration or relative field
3. Proficient in MS Office and “back-office” software (e.g., ERP)
4. In depth knowledge of office management
5. Familiarity with basic accounting procedures
6. Familiarity with basic research methods and reporting techniques
7. Excellent organizational, time-management skills, Integrity and confidentiality
8. Outstanding communication (good oral & written English & Bahasa Malaysia preferably) and negotiation abilities
9. Willing to drive and travel
