**Job Summary / Purpose**
To manage and execute Human Resources, Administrative Affairs for PASARAYA ANEKA (GURUN) SDN. BHD and ANEKA RETAIL (M) SDN. BHD. also the Security and General Affair department by ensuring these departments serve the objective of the company to achieve goals and meet the company’s visions. To ensure that the team initiates their duties perfectly for a smoother operation that meets customer’s satisfactions. To also encourage all employee to have fair and balance duties resulting for every employee to have a better work & life balance.
**Key Responsiblities**
**_Recruitment & Manpower_**
- To ensure the Administration Clerk and all company’s staffs follow the company’s policies
- To manage and execute organizational development-Organization Structuring.
- To execute for Recruitment process (Manpower Planning & Budget) inclusive of Interview
- To ensure all under probation staffs to be evaluated before confirmations, promotion and salary increment by advising head of department (PIC) to fill in the Performance Appraisal form.
- Preparing Senior Staffs and Rank and file Staffs - Letter of Appointment, Contract for Services and Confirmations.
**_Disciplinary & Grievance_**
- To ensure the disciplinary actions carried out in a right manner accordingly with the chronology of the incident and statement to be taken from the alleged staff or if a DI is needed.
- To ensure the right disciplinary action to be taken to the staff who are found guilty.
- To ensure all staffs work in a positive environment by solving grievance and dissatisfaction from staff concern.
- To solve staffs’ problem by all means if related to job.
- To encourage management from time to time giving full support by motivation, such like creating activities that may enhance the mindset of all staff toward positive thinking, own integrity for the road towards success.
- To create work and life balance.
**_Compensation and Benefit_**
- To ensure management understand by proposing benefit and compensation such as providing group medical or group health and hospitalization Insurance.
- To from time to time review the medical benefit.
- To plan and discuss with management for future staff welfare & etc.
- To prepare for SOCSO claims for ‘HUS” & “HUK” for employees who involve in external accident and internal work accident.
**_Payroll Preparation - Advance (1st Half) _**
- To ensure all staffs meet requirement base on the attendance and leave taken
- To ensure the payout amount is net after deduction on all UPL, MC & etc.
- To ensure key in the payroll system, generate and checking
- To prepare and generate all relevant payroll and statutory report.
- To upload files of Staff salary to Maybank for crediting
- _**Payroll Preparation - Salary (2nd Half**)** _
- To ensure all staffs meet requirement base on the attendance and leave taken
- To export OT, Leaves from fingertec (TMS) system to payroll and reconcile
- To create & key in staff data to payroll system for new and resign staffs
- To register new staffs in KWSP, SOCSO & EIS system
- To ensure key in the payroll system, generate and checking
- To prepare and generate all relevant payroll and statutory report.
- To upload files of Staff salary to Maybank for crediting.
- To key in all government statutory monthly contribution such as KWSP, SOCSO, EIS, PCB and HRDF for Pasaraya Aneka & Aneka Retail online.
- To do online payment through Maybank2e online for all statutory payment.
- To execute process of month end closing of Payroll
- To prepare yearly audit documents.
- To prepare yearly Tax documents such as EA Form, CP8D, company Form E & other related documents.To execute process of year end closing of Payroll
- _**Training and Development** _
- To carry out Induction Training and Orientation for staff newly recruit
- To search for Training Provider for staff enhancement in job related and Individual Development Plan.
- To conduct and encourage departmental to do in house training.
- To formulate strategies, plan, monitor and re-evaluate organizational studies, human resources requirement and service schemes in Aneka in line with current business plan/development.
- To liaise with management and HRDF on the levy status to be utilize to form a training room
**Safety and Health**
- To suggest, ensure and monitor clean environment at work place and the whole premise by following to the SOP by MKN to eliminate the current global pandemic cases.
- To suggest and ensure ergonomically work environment at work station, stores also areas which involve weight lifting.
- To alert management on the hazardous area for a clean environment.
- To fetch staffs who are in an emergency situation to clinics / hospital
