About the role

Oracle Medlife SDN BHD is seeking a skilled Human Resource / Admin professional to join our team in Kuala Lumpur. This full-time role will be responsible for providing comprehensive administrative and HR support to ensure the smooth running of our operations.

What you'll be doing

  1. Administration Duties:

  2. Handling a variety of day-to-day administrative tasks, including data entry, filing, document management, office supplies, and correspondence

  3. Must have some knowledge of GDPMD Audit-related Documentation and filings
  4. Maintain and update company records, database and inventories
  5. Prepare and process quotations, invoices, delivery orders (DO) and Purchase Orders (PO)
  6. Coordinate with suppliers, customers and internal teams
  7. Ensure proper maintenance of office equipment and supplies

  8. Human Resource Duties :

  9. Coordinating and organising meetings, events, and travel arrangements

  10. Providing HR support, such as assisting with job posting and recruitment, interviews, onboarding, and employee relations
  11. Responding to inquiries from both internal and external stakeholders
  12. Maintaining and updating HR records and systems, attendance and leave tracking
  13. Supporting the implementation of HR policies and procedures
  14. Manage payroll-related documentation and liaise with payroll vendors
  15. Assist in employee welfare, training coordination and HR Related communications
  16. Ensure compliance with employment laws and HR Best Practices

  17. E-Perolehan ( Government Procurement System ) :

  18. Manage and submit tenders, quotations and documentation through the E-Perolehan system

  19. Ensure timely and accurate submissions in compliance with government procurement procedures
  20. Liase with relevant departments to gather required documents and information
  21. Track and follow up on application statuses and updates

What we're looking for

  • 1-2 years of experience in a similar administrative or HR role
  • Preferably worked in a medical device company or medical-related field will be useful
  • Strong organisational and time management skills with attention to detail
  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office applications, particularly Excel and Word
  • Knowledge of HR practices and procedures
  • A proactive and adaptable approach to problem-solving
  • A commitment to providing exceptional customer service
  • Knowledge of GDPMD and Audit will be an added advantage
