Position Title: Admin & Logistic Officer

Department: Logistic

Basic Salary: RM2,000 - RM2,300

Location: Q Sentral, KL

Working Hours: 8:30 am – 5:30pm (Mon – Fri)

Walking distance - nearby Muzium MRT Station

Job Purpose:

To manage and coordinate all administrative and logistics activities, including documentation, inventory control, shipment coordination, and internal support functions, to ensure the organisation's operations run efficiently, accurately, and in compliance with established procedures.

Key Responsibilities:

  • To prepare and issue completed documents for Purchase Requisition (PR) and Purchase Orders (PO) for HQ approval before purchase.
  • To source at least two (2) vendors to get the quotation and negotiate with suppliers for local purchases to get the best pricing and must be approved by the management for purchasing.
  • To records and arrange shipments and prepare shipping documents, especially for a new assignment at the post
  • Maintain the master record of company inventory and ensure it is up to date and accurate on a weekly and monthly basis. monthly reports.
  • Work with Logistics Manager to ensure the most economical methods for purchasing items
  • Liaise with the accounts and operation teams to ensure efficiency and effectiveness.
  • Responsible for renewal of licenses of City Council (such as DBKL, MBSJ, etc), hostel/branches agreement, road tax and insurance of company vehicles, etc.
  • To monitor, update, maintain and keep a record of the company inventory, uniform & accessories, tenancy agreement, company vehicle, water & electricity, weapons, etc.
  • To record mileage & tolls for claims.
  • Possesses full knowledge of the purchasing & logistic procedure.
  • To prepare documentation and provide the information the detail of training as required to HQ.
  • Maintains the highest standard of professionalism, ethics, and attitude towards clients and colleagues.
  • Any Other related tasks as required allocated by superior from time to time

Expected Outcomes

  • Adheres to ISO Quality System framework
  • Ensure high quality of goods purchased and received
  • Item master records are completed and maintained to the appropriate levels.
  • Inventory counts reports are processed accurately and efficiently on weekly/monthly basis.

Qualifications & Requirements:

  • Possess Diploma or in any related fields
  • Computer literate and good knowledge of in Microsoft Office Software
  • Create a good working environment among staff and good communication skills.
  • Able to work independently and flexible in a fast-growing environment and always be as a team with minimum supervision
  • Must be able to undertake another scope like ISO, Safety, and others.
  • Good organisational skills in prioritising tasks and meeting deadlines.
  • Self-motivated, positive, and willing to learn and adapt to the new environment.
  • Ability to maintain strict confidentiality and uphold the integrity of the company.
