Job Summary:

As a Secretary cum Admin provides comprehensive administrative support to ensure the smooth functioning of the office and assists with secretarial tasks for executives or managers. The role involves organizing and coordinating office operations, managing schedules, and handling correspondence while maintaining confidentiality and professionalism.

Key Responsibilities:

Achievement

  • Assist in sourcing, comparing and evaluating offers for goods or services from vendors for company activities and events.
  • Track orders, ensure timely delivery, and review the quality of purchased goods and services.
  • Plan, organize and coordinate meetings by scheduling suitable dates and times, sending invitations to participants, and confirming their attendance.
  • Prepare and distribute necessary materials, such as agendas, prior to the meeting.
  • Monitor deadlines and follow-up with relevant teams on reports, letters, proposals and meeting minutes.
  • Follow up on matters agreed upon during meetings and liaise effectively within internal departments or with external stakeholders.
  • Exhibit result-orientated and critical thinking skills to achieve set objectives.
  • Arrange flight tickets and accommodations for director and HOD for business travel.

  • Document Management:

Maintain organized records of vendors negotiation, orders, reports, letters, proposals and meeting minutes. Ensure all documentation is up to date and easily accessible.
- Regular Report:

Keep and prepare accurate records included but not limited to reports and meeting minutes. The regular report must send to relevant teams within the limited timeline.
- Efficient Use of Resources:

Ensure efficient utilization of company resources, including time, budget, and tools, to maximize productivity.
