HR Executive Cum Campus Coordinator– Havona Preschool

Havona Preschool is seeking a dedicated, organized, and detail-oriented HR Executive Cum Campus Coordinator to join our team. The HR Coordinator will support the day-to-day operations of the HR department, ensuring smooth processes and providing essential support to employees and management.

Key Responsibilities

1. Recruitment & Staffing

  • Assist with the full recruitment cycle, including posting job ads, screening resumes, and coordinating interviews.
  • Conduct initial phone screenings and arrange interviews with hiring managers.
  • Prepare and send offer letters and employment contracts.

2. Onboarding

  • Coordinate the onboarding process for new hires, including preparation of orientation materials.
  • Conduct new hire orientation and ensure all required documentation is completed accurately.
  • Set up and maintain employee personnel files.

3. Employee Records & Data Management

  • Maintain and update employee data in the SQL Payroll system.
  • Ensure compliance with data privacy regulations and company policies.
  • Prepare reports and assist with HR data analysis as needed.

4. Benefits Administration

  • Assist in administering employee benefits such as health insurance, retirement plans, and other programs.
  • Respond to employee inquiries regarding benefits.
  • Support the annual benefits enrollment process.

5. Payroll Support

  • Assist with payroll processing by collecting and verifying timekeeping data.
  • Ensure timely submission of payroll information to the payroll provider.
  • Address employee payroll inquiries and provide clarification as needed.

6. Employee Relations

  • Serve as a contact point for employee questions and concerns.
  • Assist in handling employee issues and help foster a positive, inclusive work environment.

7. Compliance & Policy Administration

  • Ensure compliance with labour laws, statutory requirements, and internal company policies.
  • Assist in creating and implementing HR policies and procedures.
  • Conduct routine audits to ensure adherence to workplace standards.

8. Training & Development

  • Coordinate training programs and maintain training records.
  • Assist in designing training materials and supporting employee development initiatives.

9. Performance Management

  • Support the performance appraisal cycle.
  • Assist in administering performance improvement plans.
  • Maintain accurate records of evaluations and performance discussions.

10. General HR Support

  • Provide administrative support to the HR team.
  • Assist with special HR projects and initiatives.
  • Participate in HR team meetings and support team goals and improvements.

Qualifications

  • Preferred Degree in Human Resources, Business Administration, or a related field.
  • Previous experience in an HR role is preferred.
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office and SQL Payroll systems.
  • Ability to manage sensitive and confidential information with professionalism and discretion.
