**Position Title: Administrative Executive (Technical Service)**

Our client, a leader in the biomedical and life sciences industry, specializes in introducing products in the healthcare and life sciences industry to raise the standards of healthcare. They are currently looking for an **“Administrative Executive (Technical Service)” **to support customer’s enquiries, and related administrative tasks.

**Responsibilities**:

- To process customer’s order and key in Sales Order in SAP related to PO for instruments and spare parts / services. Feedback to customer on order delivery status as and when needed.
- To ensure payment receipt upon or prior delivery for COD / Cash Basis customers.
- To prepare Quotations to customers as and when required.
- To arrange delivery for the product and coordinate with Supply Chain on delivery arrangement under the responsibility of the department as and when required by customer / engineers sales.
- To arrange reverse pick-up and coordinate with admin / Supply Chain on the arrival of goods for the reverse pick-up.
- To create new service calls for T&C, breakdown, PPM and in-house repair job in SAP. To update CEC in SAP whenever there's new installation/ termination for Purchase/ RRP/ Loan/ GRN/ NCR cases
- To ensure continual compliance with ISO 9001 and GDPMD requirements for the department.
- Document filing timely according to standard procedure and maintaining a proper filling system of all documentation in the department.
- To conduct Pre-stock take sessions and assist the Finance department on stock take every half yearly.
- To monitor the inventory record of spare parts and charge out those used parts in SAP by issuing the Letter of Acknowledge (LOA) or Invoice and DO.
- Responsible for in-house repair and follow-up with engineer / supplier on the repairing status.
- Correspondence with forwarder, supplier and customer to ensure smooth and efficient import and export shipment for Depot Repair Case.
- To monitor the return of acknowledge D/O and Service Report after returning the repaired unit.
- To monitor the inventory record of the measuring tools.
- To arrange T&C appointments with customers and engineers and prepare the related documentations for the T&C.
- To monthly reports to internal / external stakeholders.
- To perform other related duties and responsibilities as may be required from the Superior from time to time

**Job Requirements**:

- A diploma or Bachelor's degree in Business Administration, Management, or a related field is typically preferred.
- A minimum of 1 year of experience in Sales Support or Administration is required.
- Experience in SAP is considered a plus point.
- Strong customer service and problem-solving skills are essential.
- Ability to converse fluently in English, Malay, and Chinese is required.

- Working Hours: 7.30am to 4.30pm/ 8.30am to 5.30pm/ 9.00am to 6.00pm/ 10.00am to 7.00pm

**Job Types**: Full-time, Permanent

**Salary**: RM2,000.00 - RM4,000.00 per month
