Admin Support Coordinator

**The Opportunity**
Our client’s team comprises experienced facilitators who deliver tailored programs to organisations, teams and leaders. With over 25 years supporting cultural change across all sectors and industries, we assist any given team to become high performing.
The role of the BU4 Admin Support Coordinator is to make the lives easier for BU4 facilitators. BU4’s purpose is to improve the lives of our team members; lifestyle, passion and finances. You will support the BU4 Owners and employees (currently 2 owners and 1 employee) with their facilitation practice, business development and connection to the company.
**Key Responsibilities**
***From the work that other admin support staff offer other BUs, we believe the role will include responsibilities in:
- Client liaison
- Business development
- BU4 / Company support
- General admin support
Regular duties will include, but not be limited to:
- Complex diary management and scheduling with staff and clients
- Preparing proposals, presentations, meeting papers, creating agendas and minute-taking
- Making travel arrangements
- Providing project support
- Supporting the marketing and delivery of special and regular events
- Establishing and nurturing relationships with clients, colleagues and network
- Managing social media accounts including LinkedIn
- Acting as a main point of contact, including receiving and making phone calls, arranging meetings, making videoconference bookings, organising catering and other logistics
- Managing the logistics of the onboarding process for BU4 new starters
- Maintaining the current filing and database systems, and looking for ways to improve current systems
- Provide administrative assistance to other staff when required
**Key Requirements**
- At least 4 years of experience in similar roles
- Excellent communication skills, both written and verbal
- Intermediate skills in MS Office suite, Zoom and the ability to quickly pick up new databases/ software
- Positive, energetic, empathetic and collaborative
- Self-motivated to work independently, proactive approach to problem-solving
- Committed to systems improvement and high-performance
- Solid in handling competing and changing priorities, working under pressure and meeting deadlines
- Excellent at multitasking, time management and organisational skills, without losing attention to detai
