Tender Executive

Duties and responsibilities:
- To perform the full spectrum of coordination and administrative duties, including data entry, document filling, overseeing goods flow, etc.
- Efficient document management, such as printing and filing the documents.
- Assist with day-to-day operations of the office.
- To coordinate, prepare and compile bid submission documents with tendering/bidding activities, tender questionnaires and pre-qualifications.
- To organize and harness the efforts of all involved departments relating to tendering/bidding activities and contract review.
- To assist the management in cultivating a good relationship with existing and potential associates/customers.
- To vet through incoming tenders and to note down the tender due date, project start and end date, tender submission instructions/requirements and mode of submission.
- To collate tender information and references from various sources such as online search engines, industry and market intelligence data etc., which are required for submission.
- To monitor and ensure that tender submission due dates are strictly adhered to, including the checking, binding, packing and preparation of outgoing submissions.
- To ensure that tender submissions are standardized in terms of format, font, logo, etc. and in line with the customer’s tender requirements.
- Ensure all the enquiries, correspondences and complaints are attended timely and satisfactorily.
- Prepare correspondences and compile reports for submission to government departments including online submission.
- Ensure renewal of business licences, like MOF, CIDB, etc are processed on time.
- To comply with applicable legal and other requirements.
- Perform any task assigned by the superior from time to time.
Requirement
- Familiar with Tendering Process and with prior experience.
- Meticulous and attention to details
- Responsible, proactive, show initiative to learn and adapt to changes
- Team player with good communication skills
- Junior is welcome to try
- Required language(s): Good in Written and Oral in English and Bahasa Malaysia.
- Fresh graduates are highly encouraged.
- Familiarise with government procurement is an added bonus.
- Required Skills: Microsoft Office (Excel, Word, Powerpoint, etc)
- Ability to work under pressure.
Pay: RM2,000.00 - RM3,700.00 per month
