Administration Executive

**Responsibilities**
Responsible for the day-to-day operations by providing prompt and efficient administrative support and customer service for the Property Management Handover unit.
**Handover of keys**:
- Verify owner's clearance letter and set a key collection appointment.
- Prepare unit keys, unit inventory forms, and Handover pack before handover appointment.
- Introduce owner to keys/pack/forms on day of appointment and bring them to see
their new unit.
**Customer service**:
- Attend to all owner's enquiries and complaints.
- Note down their comments and communicate these information to relevant parties.
**Admin related work in office**:
- Data entry work such as updating defects list (latest submissions and progress of ongoing
rectifications)
- Arranging rectification appointments for contractor if owner has already moved in but has
outstanding issues not done.
- Update, inform and remind owner to sign off/close any previous submitted defect forms
after confirming the status to be completed
- To carry out other duties that may be assigned from time to time by the supervisor.
**Requirements**:
- SPM and above
- Previous office experience preferred
- Experience in customer service would have an added advantage
- Experience with Microsoft Office programs (Outlook, Word, Excel, Access, Power Point)
- Strong work ethic, positive attitude, and good judgement
- Excellent communication and listening abilities
- Ability to exercise discretion and maintain confidentiality
- Analytical and detail-oriented
- Ability to handle multiple tasks/assignments
- Punctual attendance
