Executive Assistant to CEO

An employee's duties are to:
- Provide efficient day to day secretarial and administrative support CEO
- Handle all secretarial duties including making appointments, travel and accommodation arrangement e.g. visa application, flight and hotel reservations, arrange and co-ordinate business schedule/events and social functions.
- Arrange and schedule meetings and appointments, prepare minutes of meeting.
- To maintain strict confidentiality and interact professionally with all levels of management, staff and guests at all time
- To be able to handle multitasking job and handle pressure at work. To work independently with minimum supervision
- To undertake special assignment and ad hoc duties as and when necessary.
- Handling correspondence, such as emails and phone calls, and prioritizing them for the executive.
- Organizing and maintaining files, records, and documentation.
- Drafting, proofreading, and editing communications on behalf of the executive.
- Acting as a liaison between the executive and internal or external stakeholders.
- Coordinating communication within the executive's team and across the organization.
- Assisting in the planning, coordination, and execution of special projects and initiatives.
- Collaborating with other departments and teams to ensure projects align with organizational goals.
- Handling sensitive information with the utmost confidentiality and discretion.
- Ensuring that all communications and actions adhere to company policies and protect the executive's privacy.
- Organizing and coordinating event and meetings, including preparing agendas, materials, and follow-up actions.
- Coordinating logistics, catering, and other event-related requirements.
- Coordinate with project executive to ensure proper timely delivery.
- Representing the executive in meetings and events when required.
- Overseeing administrative tasks in the office, such as office supplies, equipment maintenance, and general office organization.
- Handling sensitive information with the utmost confidentiality and discretion.
- Ensuring that all communications and actions adhere to company policies and protect the executive's privacy.
Job Type: Contract
Contract length: 6 months
Pay: RM2, RM5,000.00 per month
