Job Functions

The Senior Procurement Executive is responsible for overseeing and executing the company's procurement and post-sales operations to ensure cost efficiency, timely delivery, and high service quality. This role manages the full procurement cycle — from supplier selection and negotiation to import coordination and documentation — while ensuring compliance with regulatory and company standards.

The incumbent also leads and develops the Procurement and Post-Sales team to achieve departmental goals in line with business objectives.


Key Responsibilities

Procurement Management

  • Lead and manage the end-to-end procurement process for medical equipment, accessories, consumables, and office supplies.
  • Develop and implement sourcing strategies to ensure competitive pricing, supplier reliability, and product quality.
  • Evaluate and select suppliers, negotiate commercial terms, and manage long-term supplier relationships.
  • Review and approve purchase orders, supplier quotations, and price comparisons prepared by the team.
  • Coordinate with freight forwarders for import shipments, customs clearance, and logistics arrangements.
  • Ensure procurement activities comply with company policies, regulatory requirements, and internal controls.
  • Work closely with internal departments (Sales, Service, Finance, and Warehouse) to align procurement plans with operational and project requirements.

Post-Sales Oversight

  • Supervise and support the Team Lead – Procurement & Post Sales in managing customer orders, deliveries, and billing operations.
  • Oversee the preparation and accuracy of Delivery Orders (DOs), Invoices, and Testing & Commissioning documents.
  • Monitor order fulfillment, shipment status, and post-sales service coordination to ensure customer satisfaction.
  • Review monthly billing and delivery forecasts and ensure timely follow-up on outstanding payments.

Logistics & Import Coordination

  • Liaise with freight forwarders and customs agents for shipment arrangements and import clearance.
  • Monitor delivery timelines, shipping costs, and documentation accuracy.
  • Ensure compliance with import permit and product registration requirements for medical devices.

Reporting & Documentation

  • Ensure proper issuance, review, and filing of all procurement and shipment documents (POs, DOs, Import Permits, and Invoices).
  • Prepare procurement cost analysis, supplier performance reports, and monthly management summaries.
  • Maintain an organized documentation system for audit and regulatory purposes.

Leadership & Team Development

  • Lead, coach, and support the procurement and post-sales team to achieve departmental KPIs.
  • Identify and implement process improvements to enhance efficiency and accuracy.
  • Foster teamwork, accountability, and a continuous improvement culture within the department.

Requirements

  • Bachelor's Degree in Supply Chain Management, Business Administration, Biomedical Engineering, or a related field.
  • Minimum 3 years of relevant experience in procurement or supply chain management, Experience in the medical device or healthcare industry is strongly preferred.
  • Strong understanding of sourcing, supplier management, and import/export procedures.
  • Excellent negotiation, communication, and analytical skills.
  • Proficient in Microsoft Office and ERP systems (e.g., SAP, SQL, Oracle, or equivalent).
  • Highly organized, proactive, and able to manage multiple priorities effectively.
