**Position : Executive Secretary**

**Reporting to : Executive Director**

Job Responsibilities:

- Provide comprehensive administrative and secretarial supports and coordination;
- Liaise and coordinate professionally with directors, internal and external stakeholders on meeting schedules and arrangements;
- Coordinate, collate and compile documentation, reports, materials and BOD pack for meetings;
- Coordinate, meticulously arrange and manage appointment schedules, including meetings, conferences, teleconferences and travel arrangements;
- Prepare an accurate and detailed agenda, minutes of meeting, memos, reports, letter, presentation deck and other related document while ensuring timely circulation of related communication and circulation;
- Manage and organise report, record and other related documents filing;
- Maintain professionalism, confidentially and interactive support in all matters as and when required;
- Undertake special assignments, ad-hoc functions and related duties as and when required.

Job Requirements:

- Have at least 5 years of related working experience and have solid experience of supporting directors and C-Level Executives;
- Exceptional organisational skills, able to prioritise efficiently and able to manage multiple tasks and schedules;
- Possess a strong interpersonal skill and the ability to build and maintain professional, friendly, and cordial relationships with stakeholders, including staff, board members, external partners, and donors;
- Excellent written and verbal communication skills in Bahasa Melayu, English, Mandarin and Cantonese;
- Excellent time-management skills, ensuring timely and accurate completion of assignments;
- Discreet, trustworthy and able to handle sensitive information with the utmost confidentiality and discretion;
- Strong problem-solving skills, meticulous and having attention to detail;
- Flexible, adaptable to changing priorities and situations and able to travel based on business requirement.

**Salary**: RM5,000.00 - RM7,500.00 per month
