Admin Secretary

**Responsibilities**:
**1. Secretary**
- To alias and support the legal department and company secretarial with the necessary correspondence and signatory in timely manner and to be compliance with regulatory requirements.
**2. Facility Management**
- Oversee day-to-day operation of facility maintenance across all office branches, ensuring a safe, clean and well-organized workspace.
- Address facility-related issues promptly and efficiently.
- Upkeep of first aid kits and ensuring the availability of medicine for staff.
- Ensure adherence to safety, security, and sustainability protocols and standards.
- Develop and implement preventive maintenance schedules and ensure timely repairs.
- Plan and oversee renovation projects, including office layout changes and upgrades.
- Manage space planning to optimize the use of office space.
- Ensure compliance with local building codes and regulations during renovations.
- Monitor renovation budgets and timelines to ensure projects are completed within scope.
- Oversee the vehicle lease and tenancy management for HQ, solution center and branch offices.
- Support the achievement and maintenance of Green Mark certification for HQ office and solution center.
- Implement best practices for energy efficiency, water conservation, and waste management.
- Work with internal teams and external consultants to meet certification requirements.
- Maintain and analyze utility records including electricity, water, and gas consumption.
- Identify opportunities to reduce utility costs and improve energy efficiency.
- Implement energy-saving initiatives and monitor their effectiveness.
- Support the company’s SDG initiatives related to facilities management.
- Develop and execute strategies to enhance the environmental sustainability of office operations.
- Promote awareness and engagement in sustainability practices among staff.
**3. General Admin**
- Manage relationships with external contractors, suppliers and service providers.
- Negotiate contracts and agreements to ensure quality service and cost-efficiency.
- Assist in procurement processes, particularly for the Human Resources and Admin departments, which includes preparing of Epson Procurement Agreement (“EPA”), Statement of Work (“SOW”), Intercompany Agreement to DocuSign and Vendor Maintenance form.
- Collaborate with relevant departments to ensure procurement needs are met efficiently and cost-effectively.
- Support Senior Managers, HR & Admin in project coordination and implementation as and when needed.
**Job Requirements**
- Bachelor's degree/Diploma in Business Administration or related field.
- Minimum 5 years of General Administrative and Secretarial Support experience.
- Strong organization and time-management skill with the ability to handle multiple tasks efficiently.
- Good command of English language.
- Excellent communication, interpersonal and writing skills.
- Proficient with Microsoft Office suite - Excel, PowerPoint Presentation.
