Handling reception - answer incoming telephone calls, take and disseminate messages, attend to walk in customers, general cleanliness of the office, facilitating refreshments/meals for meetings and serving clients Sort & distribute daily incoming mails/parcels Draft correspondence in English & Bahasa Malaysia Travel Management - flights bookings, hotel reservations, logistics for all employees Monitor & replenish pantry & stationery stock level, purchase or order when required Liaise with Building Management and suppliers for any maintenance of office fixtures and up keeping of office Source for quotations and information prior to purchase of new products Assist with preparing payment vouchers for monthly payments Submit & reconcile expense reports - tabulation of travel expenses, update of admin petty cash, etc Diary management Meetings - attend & take minutes, prepare meeting documents Other duties as assigned Requirement: Min 3 years experience as a office admin secretary/ junior secretary Possess at least Diploma in Buss Administration / Office Management or PSC Knowledge of office management systems and procedures Able to work efficiently on MSOffice programs Strong written and verbal communication skills in both Bahasa Malaysia & English Professional demeanour with a pro-active attitude, pleasant personality Well organised and detail oriented Must be able to work long hours when required
