(1) Preparing and maintaining presentations, reports, calendars, contact lists, roll creations and such other working outputs of the company.

(2) Vetting, or aiding the preparation of, internal administrative and executive communications to ensure sufficiency of content towards the purposes of such issuance by the company.

(3) Organising data and information, drafting and compiling documents, maintaining records and controlling communication plans in accordance with the filing and recording standards of the company, as are in practice from time to time.

(4) Establishing systems towards, and supervising, the prompt gathering, entering and updating of business data and divisional records and databases, both organisational and transactional.

(5) Gathering, documenting and storing corporate and transactional information, and ensuring compliance with applicable data protection rules when handing and disseminating (if required) such corporate and transactional information.

(6) Maintaining and updating records, reports and documents of the company across all available databases, with compliance to corporate procedures and guidelines, and confidentiality and data protection rules, ensured.

(7) Maintaining all communications and records, mail-related documentation and reproductions thereof in chronological files.

(8) Liaising regularly with new and established associates of the company to resolve filing and record-keeping process issues faced by the company.

(9) Coordinating the daily receipt, processing, registration, distribution and despatch of classified incoming and outgoing mail/correspondence of the company.

(10) Actively participating in the reproduction of the company’s records by imaging / scanning, copying, and file upload to the physical or digital storage systems of the company.

(11) Verifying the trueness and purpose of all records, reports, correspondence and documents of the company, with a view of establishing the correct classification of folders and final locations for their recording and storage.

(12) Providing technical assistance to divisional personnel on procedures for adequate classification, storage and disposition of company records and files.

(13) Controlling access to restricted folders and documents of the company, and establishing and implementing a process for permissions to be granted by the Management in respect of required access, and for making available records for viewing and processing by concerned personnel.

(14) Rendering ongoing assistance to, and coordinating the steps applied by, divisional personnel in the administration, maintenance and monitoring of the company’s vital records, reports, correspondence, and filings, as shall include scanning or indexing relevant records and documents, and ensuring access to such records and documents are kept in a safe and secure manner by holders (divisional personnel) thereof.

(15) Ensuring generally that all compliance and documentation protocols and policies determined by the Management, and as are common practice, are effectively practiced by divisional personnel.

(16) Making and carrying out of recommendations to the Management on the digitisation of internal records and policy documents, having in mind the recommendations of other divisional personnel.

(17) Undertaking all communications and records-keeping duties in respect of the of the company, including, but not limited to:

- Aiding the Management in the development and implementation of policies and procedures for communicating on behalf of the company, in a way that represents the corporate identity, and promotes and supports the company’s products, practices and objectives;
- Drafting policy documents and conduct handbooks that are clear and persuasive to extents required by the Management;
- Preparing written output on research done with regards to policy issues relevant to the company’s work and providing clear and concise briefings to internal and external users, be it the Management, divisional personnel or others, of the resulting policy documents as required;
- Aiding in the preparation and dissemination of talent outreach materials e.g. job posts across available platforms;
- Rendering support on human resource-related and labour law compliance communications - including assistance in preparation towards terminatory action or the issuance of ancillary notices thereto; and
- Preparing and distributing internal communications e.g. memos, circulars, notices etc. - or otherwise assisting in communication of strategies or messages from the Management.

(18) Performing all of the above duties with the **highest level of discretion** and care for the confidentiality of all corporate transactions, information and records of whatsoever nature.
