To run the executive office of the chamber and support committee members regarding all matters.

**Main tasks and work focus**

**Association's Operations**
- Serve as front office and main contact point for the Chamber
- Taking care of any type of general administrative tasks (incl. organization of committee meetings, taking minutes)
- Sending out mailings and maintain mailing directories (e.g. for newsletter and notices)
- Manage social media and website
- Maintain and store all administrative and financial records
- Execute all financial transactions (based on approval by the Committee)
- Keep track of financial situation of the Chamber and advise Committee accordingly
- Work with the auditors and provide all relevant financial matters at timely basis to the treasurer
- Maintain the Registrar of Societies (ROS). Update the registrar on any changes that are required by the Registrar of Societies
- Administrate AGM in line with SOP (in collaboration with Secretary)
- Maintain and improve SOPs
- Any other tasks required by committee

**Events**
- Organize virtual Events in close collaboration with respective board members / associates / partners
- Create invites and manage the registration of members
- Setting up Zoom platform for the virtual Events
- Organize Events (AGM, Annual Dinner, Networking, HR Circle etc.) in close collaboration with Committee and in line with SOPs
- Pro-actively follow up with members to participate at events
- Support at event with registration, taking pictures and engaging with participants

**Members**
- Keep member information updated on all relevant platforms (e.g. internal records, mailing lists, website) and provide reports to committee at regular basis
- Actively engage and build positive relationship with all members of the association
- Actively screen for potential new members and propose to committee
- Support new members during sign up of the chamber
- Invoicing and collection of membership fee

**Your Skills & Qualifications**
- Bachelor Degree in Office Administration or similar
- Relevant working experience ideally with Chambers of Commerce, Business or Industry Associations
- Self-organizing and ability to work independent
- Able to work flexible hours
- MS Office, Website Content Management and Social Media Basic Skills
