Executive Secretary

**Key Responsibilities**:
- Provide high-level administrative and secretarial support to the GED, GCEO, or COO.
- Manage and maintain the executive’s schedules, appointments, and travel arrangements.
- Prepare, edit, and distribute correspondence, memos, and reports on behalf of the executive.
- Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Serve as the liaison for meetings involving internal departments and external stakeholders.
- Handle all incoming and outgoing communications with discretion and professionalism.
- Translate documents and communications (English to Malay and vice versa) when required.
- Prepare and maintain confidential documents, presentations, and records.
- Ensure proper filing systems are in place and accessible for quick reference.
- Assist in coordinating projects, tracking progress, and ensuring deadlines are met
- Conduct research and provide insights or summaries for the executive’s decision-making process.
- Act as a point of contact between the executive office and internal/external stakeholders.
- Foster positive relationships with clients, partners, and other key contacts.
- Oversee the smooth operation of the executive office, including office supplies and support staff coordination.
- Handle ad-hoc tasks and special assignments as directed by the executive.
**Qualifications and Experience**:
- Bachelor's degree in Business Administration, Secretarial Studies, or related field. Additional certifications in office management or executive assistance are a plus.
- Minimum 5 years of experience as an Executive Secretary or in a similar role.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills in both English and Malay.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Professional demeanor with strong interpersonal skills.
- High level of discretion and ability to handle confidential information.
- Ability to work independently and under pressure in a fast-paced environment.
Pay: RM5,000.00 - RM9,000.00 per month
