About the role

As our business continues to expand in Malaysia, we are now seeking a dynamic and experienced Administrative Manager to join our team and drive the exceptional operation of our factory in Johor Bahru.  As the administrative core of the factory, you will oversee and manage the daily administrative operations of the office comprehensively. You must be a versatile professional capable of ensuring the efficient and smooth functioning of various tasks, including administration, personnel, compliance, and logistics support, thereby providing a solid operational foundation for the company's business development.

What you'll be doing

  1. Comprehensive administrative management: Overall management of all daily administrative affairs of the Johor Bahru factory, including office environment maintenance, asset and equipment management, supplier coordination, and work arrangement and guidance of the administrative team.
  2. Human Resources and Compliance: Responsible for basic human resources work, such as employee file management, attendance statistics, and ensuring that factory operations comply with relevant labor regulations in Malaysia and other local regulatory requirements.
  3. Collaboration between Finance and Taxation: Assist in handling administrative matters related to local taxation, such as document management, preliminary organization of tax reports, and closely cooperate with the headquarters finance department.
  4. Procurement and supply chain support: managing the procurement process of office supplies and administrative materials; Having knowledge of import and export processes in the food industry, able to provide necessary administrative support for the company's logistics and customs clearance processes.
  5. Internal and external coordination: act as a hub for internal communication and represent the Johor Bahru factory in establishing and maintaining good relationships with external organizations such as government departments, suppliers, etc.
  6. Complete other administrative tasks assigned by the company's leadership.

What we're looking for

  1. Educational requirements: Diploma or higher education.
  2. Industry experience: At least 3 years of relevant administrative management work experience. Experience in food or manufacturing industry is preferred.
  3. Core competency: We are looking for a versatile talent who has expertise in the following fields:

① Understand basic recruitment, onboarding, attendance, and employee relations management.

② Have a basic understanding of the commercial and labor regulations in Malaysia, especially in Johor state.

③ Familiar with basic tax document processing and local tax declaration procedures.

④ Have practical experience in supplier management and cost control.

⑤ Understand basic import and export documents and requirements, and be able to handle administrative affairs in the logistics process.

4、Excellent written and spoken communication skills in Chinese and Malay; Basic English communication skills.

5、Skill requirement: Proficient in using Microsoft Office software (Word, Excel, PowerPoint).

6、Personal qualities: Possess excellent organizational and coordination skills, leadership abilities, and problem-solving skills. Pay attention to details, possess good communication skills and resilience.

7、Self provided transportation: Must have a valid Malaysian driver's license and be proficient in driving.
