Office Administrator

Job Description
- Manage day-to-day office activities to maintain smooth operations and adherence to internal guidelines.
- Oversee general administrative matters such as facilities upkeep, utilities, cleaning services, pantry supplies, and office stationery.
- Keep track of company insurance policies and ensure timely renewal, providing reminders well in advance of expiry dates.
- Liaise with landlords and vendors on tenancy agreements, office repairs, and maintenance tasks.
- Maintain accurate records, files, and databases related to office operations, staff matters, and financial administration.
- Monitor and replenish office supplies as required to avoid shortages.
- Prepare reports, presentations, and other business documents as assigned.
- Assist with company vehicle administration, including maintenance, reimbursements, and petty cash management.
- Ensure all incoming correspondence and letters are reviewed promptly and circulated to the appropriate parties for follow-up.
- Handle any other ad-hoc administrative duties.
Job Requirements
- Diploma or higher qualification in Business Administration or related field.
- At least 2–3 years of relevant experience in office administration, executive support, or a similar capacity.
- Strong communication and interpersonal skills with a collaborative, service-oriented mindset.
- Proven ability to manage multiple priorities, meet deadlines, and stay organized under pressure.
- Comfortable working independently in a fast-moving environment with minimal supervision.
- Highly detail-oriented, structured, proactive, and resourceful.
Additional Information
- Successful candidate must be able to work in our Malaysia office at Taman Austin Perdana, JB.
- Candidates will undergo 2 to 3 rounds of interviews with some assessment tests as part of the recruitment process.
- Kindly note that all new hires will be offered yearly renewable contract for 2 years before conversion to permanent role.
