Officer, Leasing Administrator

Job Summary
Managing tenancy documentation and renewals, liaising with tenants, lawyers, and contractors, monitoring tenancy details via MRI, coordinating with internal teams, handling tenant communications and payments, and maintaining organized tenant records.
Key Responsibilities
- Prepare and submit various documents for new leasing, including instruction letters to lawyers, recalculating agreements if necessary, and photocopying documents.
- Draft lawyer's reply and return signed Tenancy Agreements to the lawyer.
- Stamp, photocopy and file the Tenancy Agreements.
- Prepare standard renewal/extension letters for Tenancy Agreements, get tenants to sign, and send monthly Notice of Demand (NOD) letters.
- To access MRI to monitor tenant sales and tenancy detail.
- Prepare closure letters for tenants once approved by management.
- Leasing administrators must handle communication with tenants, contractors, and others, resolving conflicts and issues when necessary.
- They are responsible for answering inquiries and chasing outstanding payments from tenants.
- Organize and file various tenant-related documents such as the Letter of Offer, Tenancy Agreements, renewal agreements, NOD letters, closure letters, and sales turnover forms.
- Liaise with the contractors for the work permits and insurances.
- Collaborate with operations, marketing and finance teams to address tenant-related matters, such as maintenance issues, promotional activities, or billing matters.
- Any other related duties / task assigned by Executives/Manager.
Key Requirements
- Possess a minimum of Diploma qualification or Certificate in Marketing, Retailing or equivalent.
- Computer literate in Microsoft Office Application.
- A team player and also able to work independently under minimum supervision.
- Applicants with 2 years' experience in Retail Leasing, Property Management or a related field.
