Job Summary
Admin Executive is responsible in supervising and act as a point of contact between Drivers, Dispatcher, Facilities and Services. You will work on a one-to-one basis on a variety of tasks related to non-executive’s working life and communication.

Job Description and Responsibilities

Dispatch & Mailing

1. Supervise and monitor the dispatchers
2. Monitor and ensures the franking machine is working well and maintenance of the machine is done as per schedule, including credit top up and etc.
3. Ensure that all receiving and sending parcel, letters, documents and goods are recorded and completely done
4. Ensure that all claims for dispatch, including petrol, car, tolls are processed accordingly

Fleet & Transportation

1. Supervise and monitor the drivers
2. Responsible and monitor for the college motor vehicles’ maintenance & repairs
3. Manage car and driver request for any trips, including preparing a weekly driver schedule
4. Renew any licenses, insurance, road tax for all vehicles

Building & Facilities

1. Supervise and monitor the drivers
2. Manage any booking or request to use the facilities
3. Manage to record and update any assets list in accommodations, tenants list and other related data about the building and facilities
4. Ensure the preservation of the building condition, including doing regular inspections
5. Manage any relocation, building emptying, changing tenants, handover and clearance of the building and facilities

Special Task & Event

1. Responsible to do planning, itinerary and works delegation for any events.
2. Set up and prepare with other department’s help to held the events
3. Ensure the events running smoothly as per plan
4. Coordinate & communicate with other departments. Agencies and government bodies
5. Undertakes any other duties as directed by the management.

Main Services

1. Supervise and monitor the workers & service
2. Liaise and communicate with the contractors to discuss any problem, planning and any actions to be done
3. Ensure all services are completely done as per terms and scope of services in the contract, including receiving the correspondence and complaints, and solve the issues
4. Doing regular inspection of the services, together yearly assessment to the contractor
5. Record and manage the filings of all data, payment, issues, complaints or report made by other staff, students and departments.

Tendering processes

1. Handle tendering processes completely from RFP until awarding contract

Qualifications, Skills and Knowledge
1. Diploma and / or Degree in Business Administration or Management.
2. Minimum 4 years’ experience in Administration in a similar capacity.
