a) Job Responsibilities: - Perform the role as Project Administrator in WS division in all projects assigned. - Provide support to PMT - Engineers, Project Manager and Head, IPM. - Prepare and compile project claims, invoices, Payment Advise, Billing Advise from Vendors and to Clients within time frame. - Proactively monitor, tracking and chasing Account Payable and BA/Payment status with Clients. - Support as administration related with department scope of work and Secretary to Head, IPM. - Undertake the tasks of receiving calls, take messages and routing correspondence - Make travel arrangements - Take dictation and minutes and accurately enter data. - Monitor office supplies and research advantageous deals or suppliers for IPM department. - Produce reports, presentations and briefs as request by Superior. - Develop and carry out an efficient documentation and filing system. - Maintain daily electronic journal, arrange meetings and appointments and provide reminders as needed; maintain master corporate calendar of all conferences, workshop, all-hands events, holidays, and vacations as request by Superior - Handle requests, feedback, and queries quickly and professionally - Maintain strong relationships with Vendors and Clients. - Produce professional quality reports, presentations and briefs - Develop and carry out an efficient documentation and filing system for both paper and electronic records - Delegate tasks as appropriate to other members of the team b) Job Requirements: - Minimum Diploma/ Bachelor Degree in Accounting/ Finance/ Business Administration or equivalent. - Minimum 3- 5 years of working related experience preferably in Oil and Gas Industry. - Familiar with client billing system and/or process ie; Petronas or other PSCs is an added advantage. - Positive mindset and fast learner, able to work independently with minimum supervision. - Ability to multi-task in fast pace working environment. - Ability to interact with all levels of people. - Willing to work in Damasara Perdana, Petaling Jaya, Selangor.
